Sales Assistant

Summary

Reporting to the sales-focused executive team, the Sales Assistant supports the day-to-day operations and streamlines the organizational, recordkeeping, and administrative duties of the sales executives. Typical duties include taking minutes and meeting notes, drafting email communications, proofreading documents for grammar and sentence structure, arranging meetings and managing schedules, coordinating tasks, updating CRM software, processing grant applications with clients, preparing documents and powerpoints, and booking travel and meetings. The Sales Assistant will also assist with personal tasks for the leadership team. A driver’s license and vehicle for transportation will be required.

Main Duties & Responsibilities

  1. Attending virtual and in-person meetings, taking minutes, and drafting action items.
  2. Managing schedules and meeting attendance.
  3. Drafting and proofreading written communications for grammar, sentence structure, and punctuation.
  4. Drafting and proofreading PowerPoint presentations, as well as drafting/editing other sales and marketing assets.
  5. Drafting contracts and arranging client payments with our Accounting Administrator.
  6. Assisting clients with grant application processing, while updating and maintaining records.
  7. Updating sales activity in our Hubspot CRM software.
  8. Preparing documents, powerpoints, and sales materials from both verbal and written instructions.
  9. Organizing and managing meeting arrangements and spaces (Boardroom and Reception Area).
  10. Liaising with third-party service providers, as required.
  11. Performing personal tasks for executives as reasonably assigned.

Required Knowledge & Skills

  1. Strong verbal and written communication skills.
  2. Strong attention to detail and follow-up skills.
  3. Demonstrated strong time management skills, and ability to multitask and prioritize work.
  4. Excellent organizational skills and demonstrated ability to work under tight deadlines and adapt to continuous change.
  5. Demonstrated strong teamwork, collaboration, and interpersonal skills.
  6. Proficiency in applications such as Gmail, Google Docs, Google Sheets, MS Word, Excel, PPT, and Outlook.
  7. Demonstrated ability to handle sensitive details with confidentiality.

Required Education & Experience

  1. At least a post-high school 2-year College Diploma in business or public administration is required.
  2. Minimum 4 years of experience as a Sales Associate, Receptionist, Office Administrator, and/or Administrative Assistant. Experience in a professional services environment is a strong asset.
  3. Or an equivalent combination of education and experience.
