Appointment Coordinator

Job Type: Full-time, Permanent


The Appointment Coordinator is a full-time employee that provides support to Gustin Quon’s (GQ) sales team by calling prospective clients and scheduling appointments for them to speak with a financial advisor. The Appointment Coordinator also provides general customer and administrative support. The Appointment Coordinator will typically work from home or GQ Head Office if they choose to do so and present their reports to the Director of Sales.

Main Duties & Responsibilities

A. Answer Inbound Calls

  1. Answer inbound calls from the GQ’s prospects and/or current clients or customers.
  2. Answer any questions the prospective and/or current clients or customers might have.
  3. Set up appointments for prospective and/or current clients or customers to speak directly to a financial advisor.

B. Place Outbound Calls

  1. Receive lists of potential clients from the GQ Sales Team.
  2. Responsible for cold calling all prospects.
  3. Use these calls to determine the overall interest of prospective clients and eliminate clients who aren’t interested.

C. Email Clients

  1. Use email to contact clients, both current and prospective, to answer any questions, schedule meetings with a financial advisor, or reschedule meetings as needed.

D. Keep Accurate Records

  1. Keep accurate records of each conversation with prospective and/or current clients or customers.
  2. Indicate in these records whether the persons are interested or not.

E. Provide General Administrative Support

  1. Provide general administrative support to the GQ Sales Team.
  2. Make copies of the required documents and organize documents.
  3. Rearrange schedules as needed.

Required Knowledge & Skills

  1. Strong knowledge of sales principles, methods, and processes.
  2. Demonstrated experience in garnering prospective clients’ interest in the service being offered.
  3. Strong customer service delivery skills, preferably in a call center environment.
  4. Strong attention to detail, and high accuracy and speed in handling data and its entry.
  5. Strong interpersonal communication skills in both verbal and written forms
  6. Demonstrated experience in talking to prospective and/or current clients all day long on phone and/or via other electronic meeting media.
  7. Demonstrated organizational skills in working with the schedules of multiple salespeople.

Required Education & Experience

  1. Must have at least a two-year Diploma that is post-high school.
  2. Must have at least three years’ customer service experience
  3. Or an equivalent combination of education and/or experience.
